Plan your Kansas City convention service.
For a Kansas City Convention Center event, confirm the exact hall or room before arranging branded coconuts. The foodservice route differs across Bartle Hall, Municipal Auditorium, the Conference Center, and the Grand Ballroom. A whole coconut is proposed hospitality, not automatically an approved sample.
- Confirm the room's caterer
- Bartle Hall and Municipal Auditorium may use a caterer from the venue's approved list. The Conference Center and Grand Ballroom require Loews Catering. Ask your organizer and venue contact which approved provider and serving arrangement apply to your room.
- Request the serving approval
- The venue's small-sample rules require show manager and facility authorization. Ask for written approval of the whole coconut and how it will be opened and served. Do not assume a branded drink meets the sampling rules or that an approved caterer relationship permits outside supply.
- Plan receiving and refrigeration
- Use the approved loading dock and confirm whether your shipment must go through the show's contractor. Agree on the delivery window, receiving contact, and refrigeration plan before scheduling delivery. Do not assume the venue accepts the shipment or provides cold storage.

Can you supply a booth at Bartle Hall?
We coordinate the request with the show organizer and the venue’s catering contact and the approved caterer for your booked room. A whole coconut is proposed booth hospitality, not a small product sample. Outside supply, refrigerated delivery, and attendants depend on written approval, available facilities, and any permits or venue fees. Your quote confirms the approved service plan.
How much lead time do Kansas City events need?
Three weeks standard, four to six for large conventions. Loop us in when you confirm your booth or event date and the logistics fall into place. Artwork proofs come back within three business days, and quotes within four business hours.
Do you handle corporate events and brand activations in Kansas City?
Yes. Headquarters programs, game-day hospitality, launches in the Crossroads Arts District and on the Country Club Plaza, and client dinners in the Power and Light District all get the same treatment as our Neutrogena and 818 Tequila activations at The Surf Lodge.
